Content Workflow and Why You Need it

Apr 30, 2021, 17:18 PM by Emily McVicker
Learn how implementing a content workflow can increase efficiency and productivity for your content editors.

Content governance plays a crucial part in your website’s content strategy in this day in age. Now, more than ever, it’s important to create consistent content across your website that aligns with and meets your organizational goals, and ultimately business requirements.

Your current content publishing process may look something along the lines of:

  1. Create the content in a Word editor.
  2. Proofread the content.
  3. Create a Sitefinity Page and copy and paste the content into a content block.
  4. Publish the content.

Although this process can work for you and is one that we see many clients implement, there is room for error. This content process is one without content workflow. Content workflow isn’t solely about approving content before it needs to be published. It’s more than this as it allows you to collaborate with your peers and introduces a more refined website from a content perspective.

Understanding the benefits of a content workflow will better help you sustain and manage your web content in the future, and the good news is that Sitefinity CMS comes prebuilt with a workflow module.

By implementing a content workflow, you’ll receive the following benefits:

  1. Content, and branding consistency throughout the website.
  2. Reduction of errors since more individuals within your organization will be able to review the content.
  3. Improves team communication and introduces teamwork.
  4. Increases productivity since the content workflow is automated.

Currently, Sitefinity CMS has three-levels of content workflow, as defined below, that all allow for a team-wide collaborative process:

  1. One-Level of Approval: Create and Send for Approval>Publish
  2. Two-Levels of Approval: Create and Send for Approval>Send for Publishing>Publishing
  3. Three-Levels of Approval: Create and Send for review>Send for Approval>Send for Publishing>Publishing

By instituting a content workflow within your organization, your content editing team will gain productivity and efficiency. This will also allow more individuals to have more say in the content that gets published on your website.
